Workspace profile and people
Your agents work better when they know where they are. A short profile of your workspace, plus who does what, means you don’t have to explain it in every conversation or every workflow prompt.
Everything here lives in Settings → Workspace.
About this workspace
Section titled “About this workspace”The workspace owner fills in:
- What this workspace is for: a sentence or two, such as “Runs the Lisbon office: freight forwarding for EU importers.”
- Industry
- Website
- Time zone, a name from the list such as
Europe/Lisbon
Members can see the profile. Only the owner can change it.
People
Section titled “People”Under Members, each person can have:
- a title, such as “Head of Finance”
- responsibilities: short labels such as
financeorvendor contracts - who they report to, another member of the workspace
- their own time zone
The owner can edit anyone and can make another member an owner. A workspace always keeps at least one owner. Members can edit their own title and time zone.
Responsibilities also decide who is asked to approve. An approval step can
name responsibility:finance instead of a person. See
Approvals.
What your agents are told
Section titled “What your agents are told”On every chat turn and every AI workflow step, agents in the workspace get a short summary:
- what the workspace is for, its industry, website and time zone
- who they are working for: that person’s name, title and responsibilities
- the other people in the workspace, with their titles, responsibilities, teams and who they report to
The summary is kept short. In a large workspace only the first people are listed, and the agent is told how many more there are. An agent that has the workspace directory tool can look anyone up by name, title, responsibility or team. Attach the tool to an agent step or chat template like any other tool.
Email addresses and phone numbers are never included, in the summary or in the directory tool. Agents know who people are, not how to contact them.
If you haven’t filled in a profile or any titles, responsibilities or teams, nothing is added and your agents behave as before.
Reaching people on Slack
Section titled “Reaching people on Slack”When someone messages the assistant on Slack for the first time, and their Slack email matches their email here, their Slack user is linked to them automatically. After that, notifications they’ve turned on for Slack (in Settings → Notifications) reach them as a direct message from the assistant, including approval requests.
In company workspaces with chat apps connected, Settings → Workspace also lists the Slack and Teams links for the workspace’s members:
- Matched by email: linked automatically.
- Linked by owner: the owner linked it by hand because the emails differ. Copy the person’s member ID from their Slack profile and choose them from the list.
A link made by hand is used for notifications only. It never lets anyone use the assistant as that member. Only a matching email does that.
The owner can unlink a member’s Slack user at any time. If the emails still match, the link comes back the next time that person messages the assistant. To link a Slack user to a different person, link it by hand to the right member.
